The meeting recap system that turns a 60-minute call into a 5-minute action plan
📍 Field Note

Sat through a one-hour strategy call with a dozen ideas, three decisions, and a lot of “we should follow up on that.” Old process: sit through a meeting, clean up messy notes later, and hope the real action items do not get lost. New process: use AI to turn the transcript or rough notes into decisions, owners, deadlines, open questions, and a follow-up email in minutes. AI does not replace the meeting — it makes the follow-through harder to ignore.

🛠️ The Main Piece — Applied AI

Three-stage meeting execution. Stage 1 ingests the transcript, rough notes, or voice memo and extracts the key decisions, discussion themes, and open questions. Stage 2 converts the conversation into a clear action plan with owners, deadlines, priorities, and dependencies. Stage 3 drafts the follow-up email and checks the recap for missing assignments, unclear next steps, and unresolved decisions.

The trick is in Stage 3. Most AI meeting workflows stop at the summary.

That is where the real value gets lost. A meeting recap is useful, but an execution check is better.

Stage 3 forces the AI to ask:

What is unclear? Who owns what? What deadline is missing? What decision still needs to be made?

That is the difference between a meeting summary and a working action plan.
